Introduction and How to Add New Calendars

Business Calendar is using the Android calendar database and the built-in synchronization functionality of the Android operating system. That means all events that have been created using Business Calendar can also be viewed with any other calendar application that is accessing the Android calendar database (e.g. the stock calendar app) and vice versa.

There are different types of calendars that can be synchronized with your Android device and therefore can be used with Business Calendar. If you want to use calendars that can be synced e.g. with Google Calendar or Exchange you have to add the appropriate account in your Android system settings (usually you can add accounts under "Settings->Accounts and sync->Add account") and turn on the "Sync Calendar" option in the details of the added account! You may also want to check the "Auto-sync" option to sync all data automatically.

When the first synchronization of your calendars is done, you can select them using our menu item "Calendars". If you want to work with multiple Google calendars (recommended to categorize and color code your events) please add them using the Google Calendar website and sync them to your Android device afterwards!

Getting Help within the Application

Business Calendar is including a context-sensitive help system to show you how to use the application the most efficient way. Please select "Help" in the drop-down list box in the upper left corner to find out what options are available in the current view.

Using the Month View

The month view is providing a quick graphical or textual overview of the events of the selected month. Tap icon on the upper right corner to switch view between text and timeline bars. You will also get a more detailed textual presentation of the events when tapping a day of interest.

Interaction options:
  • swipe over days to select them for opening in multi-day view (view opens automatically)
  • tap single day to show popup window with day events, tap popup window to show detailed day view
  • swipe vertically over screen to go to next/previous month
  • long press day to add new event
  • tap a calendar name at the bottom of the screen to toggle the calendars events on and off (only favorite calendars are shown at the bottom of the screen for quick access, you can mark a calendar as "Favorite" using the menu item "Calendars")
  • long press a calendar name to only display it's events, long press the name again to display all favorite calendars

Using the Week View (Multi-Day View)

The week (or better multi-day view) is providing a graphical and also textual presentation of the selected days. It is a smooth scroll- and zoomable view that can be configured to show from 1 to 14 days simultaneously. In the paid version you also have the option to use the drag&drop mode to easily move and copy your events!

Interaction options:
  • zoom view with 2 fingers (zoom gesture)
  • view can be scrolled horizontally (and also vertically if zoomed)
  • tap event to open event view
  • double tap event to zoom in/out quickly
  • swipe vertically over a day to open day view
  • use slider at the bottom to change number of days that are displayed simultaneously
  • tap a calendar name at the bottom to toggle the calendars events on and off (only favorite calendars are shown at the bottom of the screen for quick access, you can mark a calendar as "Favorite" using the menu item "Calendars")
  • long press a calendar name to only display it's events, long press the name again to display all favorite calendars
  • free version or drag&drop mode off in paid version: long press event/free slots for more options (add new event, edit event, delete event, copy event, show day)
  • only paid version: tap icon on the upper right corner to toggle drag&drop mode on and off
  • only paid version: drag&drop mode on: long press event, move it and drop it at new position, then choose if you want to move or copy the existing event

Using the Day View

The day view shows all events of the selected day.

Interaction options:
  • tap event to open event view
  • swipe horizontally over screen to go to next/previous day
  • long press event to open context menu with additional options (edit event, delete event, copy event)
  • tap "+" icon on the action bar at the top to add new event
  • only paid version: select menu item "Start multi-selection" to enable multi-selection mode
  • multi-selection mode in paid version:
    • delete, move or copy all selected events by using the buttons at the bottom
    • select all events by using the checkmarks icon at top of the events


Using the Agenda View

The agenda view is providing a searchable list of coming and past events.

Interaction options:
  • tap event to open event view
  • long press event to open context menu with additional options
  • scroll up event list to see events in the past, scroll down for later events
  • tap on magnifying glass shaped icon on upper right corner to show the search input field
  • filter events using the input field; title, description and location are browsed
  • only paid version: select menu item "Start multi-selection" to enable multi-selection mode
  • multi-selection mode in paid version:
    • delete, move or copy all selected events by using the buttons at the bottom
    • select all events within a certain period of time by using the small calendar icon at top of the agenda
    • when using the "Move" option you will be asked if you want to move all selected events to a certain day (option "Move to day x") or if you want to move all selected events by a certain time (option "Move by x min/hours/days"). Please notice that events that take place on different days all will be moved to the same day when using the option "Move to day x" while they still will be on different days when using the option "Move by x min/days/hours"

Using the Event View

The event view shows detailed information about a specific event.

Interaction options:
  • edit, copy, share or delete event using the icons in the action bar at the top
  • add reminders using the "+" icon to the right of the "Reminder" label
  • if there are guests that have been invited to the event just tap on the name or photo of a guest to open a list of actions (e.g. start a call, write an email, write a SMS) or optionally to directly open the contact details in your contact application
  • only paid version: if you have linked a contact to the event tap on the name or photo of the contact to open a list of actions (just the same as when it would be a guest, the difference between linked contacts and guests is explained in the section "The Event Input Mask")
  • only paid version: if there are guests that have been invited to the event tap on the option "Mail all attendees" to write a mail to all guests of the event

Using the Calendar Selection

The menu item "Calendars" opens the calendar selection page. It lets you choose the calendars you want to be displayed in the application. Furthermore you have the opportunity to add some calendars to your "favorites". If a calendar is a favorite calendar you can quickly toogle it on and off by tapping its name at the bottom of the screen in the month and week view.

Interaction options:
  • checking calendars selects them to display
  • arrow up button adds calendar to favorites, arrow down button removes it from favorites
  • select menu item "Setup Help for Calendars" to get instructions on how to add new calendars that can be synced e.g. with Google or Exchange (the same explanation also can be found on top of this page in section "Introduction and How to Add New Calendars")
  • only for devices running Android version 4.0 and higher: select menu item "Create Local Calendar" to create a new local calendar that will not be synced with any other source

The Event Input Mask

When you are adding a new event or you are editing an existing event the event input mask is shown. In addition there is a quick event overview on the right showing the events of the currently selected day (or of the first day of an event that is lasting several days). Please notice that you always have to enter a title to create a new event. Furthermore you can specify the start day and time, the end day and time, the location, a description, up to 5 reminders for the event, guests, the busy or free option, the privacy option, a repetition rule and the calendar that will contain the event.

If you want to create an event series you can select the main repetition rule first (using the repetition list box at the bottom) and then additional options will show up that will allow further customization of the event series (e.g. to create an event that is taking place every 2 weeks on Tuesday and Thursday).

You can use the guests input field to send an invitation to the calendar of another Google user. Just enter a valid Google Mail address and the user will automatically be invited to your event.

In the paid version you can also link a contact to the event. The linked contact will show up when you open the event view afterwards. Unlike guests linked contacts don't get an invitation into their calendar so that linking a contact to an event just is a shortcut and an assistance for you. When you have chosen a contact to link to the event, the name and address of the contact will automatically be filled in to the title and location field. There also is an option in the settings to enable/disable the automatic filling feature for the name and the address individually.

Interaction options:
  • tap a slot on the event overview on the right to select the start time of the event
  • move your finger up/down on the event overview to change the duration of the event
  • tap buttons with start/end date to open the date picker
  • date picker for start/end date:
    • tap a day to select the start/end date of the event
    • swipe over days to set start and end date of a multi-day event at the same time
    • if you modify an existing multi-day event the length of the event will be maintained when you select a new start date (swipe if you want to change the length of the event)
    • use the arrow icons at the top to go to the next/previous month
    • tap the month name at the top to enter the start date using the default Android date selector; please tap the selected start date again afterwards to confirm your selection
  • only paid version: tap the icon in the upper right corner to link a contact to an event
  • only paid version: tap on the button to the right of the title or location field to select the title or location of an event from a history list
  • only paid version: select the menu item "Save as Template" to save the current event as template
  • only paid version: select the menu item "Use Template" to assign an existing template

How to Add a New Event (from different views)

You can always use the "+" icon in the action bar at the top to add a new event. Additionally there are some more ways to add a new event and give it the right date/time right from the start!

Here is a short overview how to add a new event from different views:

  • Month view: long tap the day where the new event will take place
  • Multi-Day view: long tap the time and day where the new event will take place to show up the "Add New Event" option
  • Agenda View: long tap an existing event to show the "Add New Event" option

Getting Reminders for Events

You can specify up to 5 reminders for an event using the event input mask of Business Calendar. If you are using the free version of Business Calendar it will be the stock calendar application that will remind you of an upcoming event so please do not disable the notifications in the stock calendar app in this instance.

The paid version also is including our own Business Calendar reminders that offer some additional options. At the first start of the full version you will be asked if you want to enable the Business Calendar reminders. You can also change this option later on in the settings of the app (just use the quick navigation at the top of the settings screen and select the option "Reminder Settings" to open the detailed settings for alarm messages). When you have enabled our own Business Calendar reminders please remember to disable the alarm messages of other calendar apps (including the stock calendar), otherwise you will get double alarm messages. Configuration Settings

The menu item "Settings" will open a page that lets you define some basic application settings. Most of the options should speak for themselves, so just a few words to the core hours:

  • start- and end time specify from when to when the graphic representations are drawn in month and week view (it may be good practice to choose the space of time where your events usually take place)
  • if an event happens to be completely before the start/after the end time a red arrow will indicate that there are more events present

Using the Widgets

There are widgets for the month view, the multi-day view, the agenda view, a day widget and a calendar icon widget! In your list of widgets you will find different sizes of Business Calendar widgets. The sizes 4x1, 3x1 and 2x1 always will become a day widget once added to your home screen. The 1x1 size always will show the calendar icon with the current date. All other sizes do allow to choose your widget type (month, week or agenda)! All widgets have some individual options to configure the widget according to your needs!

Please keep in mind that you must not move the application to sd card if you want to use any application widget (this is a limitation of the Android operating system and not of our application)!

In the settings of Business Calendar you will find an option "Available Widgets" (the option will also show up when you select our menu item "Help"). Using this option you can choose which widgets should be available in the list of widgets when you are adding a new widget to your home screen. Please notice that you will have to restart your Android device for any changes here to take effect (not required if you are using Android version 3 or higher). You can uncheck some widget sizes if you don't want to use them and your widget list will become clearer. On the other hand please have a look at this option if not all widget sizes you want to use are showing up in the widget list.
